Prepack Management

Prepacks are often used in shoe business as a general way of ordering from suppliers. Each prepack, ie a box of shoes, contains the a number of quantities of same model in one specific color divided into a size curve. For example a size curve for men would consist of different quantities in sizes ranging from 41 to 46: 1-2-3-3-2-1.

Introduction

This document describes both the setup parts and the usage scenarios of the prepack functionality in Anyware Retail.


Scenarios

Prepacks are mostly used in wholesale selling business, however also in retail business purchasing items pre-packed in size curves from different suppliers. The common scenarios are primarily shoes. but the functionality in Anyware Retail with a wide range of different products.  


Prerequisites

To enable the prepack functionality, its needs to be enabled in "Anyware Retail Setup", located under "User Experience".

On top of this, the prepacks are connected to size groups. This is due to the fact that the curves are size specific and cannot be applied on different size groups. If the same sizes exists in different size groups, the prepacks need to be created on each size group to be visible.

Create prepacks

Follow the steps below to specify different size curves, also called prepack definitions.

  1. Start by going to the list of size groups. Search for "Size Groups" in the search pane.
  2. Select the corresponding size group and click "Prepacks".
  3. The "Prepack Definitions" page is shown together with a table. Each size in the size group is included in the table as a column.
  4. Create lines in the table by filling out the "Code" column. One line per prepack. The description column can be used to describe the prepack in free text.
  5. Enter the quantities for each size in each prepack.

On the product card, the prepack definitions are connected to the product on the "Variants" tab.

Follow the steps below to select prepacks and to create prepack variants:

  1. Open up the product card for the appropriate product.
  2. Click the assist button to the right of the "Prepacks" field above to open up the select page for the available prepacks.
  3. Click the "Selected" checkbox for each prepack to connect to the product.
  4. Close the prepack selector page.
  5. On the product card, click "Home" => "Create Variants".

The prepacks will be identified and additional variants will be created, one for each prepack. Each prepack variant will have a unit of measure that equals the prepack code, and the total quantity inside the prepack.


Create order lines

When ordering prepacks, the matrix is not used. If enabled on the documents, the matrix will open when selecting a product. In that case the matrix must be closed immediately. To create prepack order lines, follow the steps below:

  1. Open up the order page of the order to add lines to. Purchase document or sales document.
  2. Set the "Type" field to "Item".
  3. Select a product in the "No." field.
  4. If the matrix opens, close it immediately.
  5. Select the color in the "Color Code" field.
  6. Select the prepack in the "Prepack Code" field.
  7. Enter the pack quantity in the "Quantity" field.

This results in a prepack order line being created, with the unit of measure being set to the prepack code, and the quantity per unit of measure equals the total pack content quantity.


Composing and splitting prepacks on inventory

When selling shoes on e-commerce, it is needed to split the prepack boxes on inventory into the single sizes. This is done in the item journal, and means that a prepack item entry is negatively adjusted at the same time as the components being positively adjusted. It might also be needed to sometimes compose a new prepack entry on inventory, which means that a prepack item entry is positively adjusted at the same time as the components being negatively adjusted. In order for the cost adjustment to work, these entries are connected so that the correct unit cost can be applied on all relative entries.

Follow the steps below to compose or split a prepack entry:

  1. Open up the item journal.
  2. Select "Positive adjustment" or "Negative adjustment" in the "Entry Type" field.
  3. Enter a document number in the "Document No." field.
  4. Select a product in the "Item No." field.
  5. Select a action in the "Prepack Action" field. "Compose" or "Split".
  6. Select the color in the "Color Code" field.
  7. Select the prepack in the "Prepack Code" field.
  8. Select the location in the "Location Code" field.
  9. Enter the pack quantity in the "Quantity" field.
  10. Apply all of the other financial related information in order for the correct posting to occur.
  11. Post the journal.

When analyzing the item ledger entry after posting, the corresponding component entries are visible, following the last posted line of the journal.
